To: [Office or adviser] Date: [Document date] From: [Your full name] Reply contact: [Your contact details] Subject: Request for certified or authenticated copies of identified land records Dear Sir/Madam, I request the copies listed below through the certification or authentication process applicable to your office. LAND IDENTIFICATION [Identify the land] RECORDS AND PERIOD REQUESTED [Copies requested] Please use the record names and year or period stated above when locating the material. If a requested item is held under an older parcel number, a different village classification or another record series, please inform me of the reference needed so that I can make an accurate request. BACKGROUND [What happened] PURPOSE AND COPY REQUIREMENT [Purpose and required authentication] I am seeking an issued copy rather than assuming that an ordinary online view or screenshot is a certified record. If your office provides a digitally signed file, please supply the issued electronic document with the available verification reference. If a signed paper copy is the applicable service, please inform me of the recognised collection or delivery process. REQUESTED ACTION [What you want] Please advise me of the prescribed application, lawful eligibility or authorisation requirement, applicable fee and payment channel. If part of this request belongs to another custodian, please identify that office and the relevant record description, where possible. I do not ask your office to determine ownership or resolve a competing claim through this copy request. If a record is unavailable, incomplete or cannot be supplied through this service, please provide the reason or the next applicable request route. Please do not replace a requested historical record with a current extract without identifying the difference. ATTACHMENTS [Attachments] I request an acknowledgment or application number so that I can follow the request. Please communicate any additional information needed through the contact given above. I will preserve the copy as issued and check its identifiers and authentication before relying on it for the stated purpose. Yours faithfully, [Your full name] Signature, if required by the submission channel: ____________________
Your next moves
- Submit through the recognised channel and keep the acknowledgment and payment receipt.
- Check page completeness, parcel numbers, record year and the certification or digital signature.
- Keep the electronic original when supplied; ask about verification if a printout will be used.
Real-world check
A covering letter is not a universal prescribed form. Public views, certified revenue copies, registered-deed copies and cadastral survey records are different services. Certification authenticates a copy through the relevant process; it does not guarantee title or an undisputed boundary.
